What used to sound like science fiction is now a reality: With just one sentence, tasks can now be delegated directly in a new agent mode — from searching for hotels to filling out forms and creating complete presentations. But how do these so-called agents actually work, what distinguishes them from classic chatbots and how mature is the technology as of summer 2025?

What's new about ChatGPT's agent mode?

ChatGPT Agents are autonomous software helpers that process complex tasks independently without users having to specify every intermediate step. In agent mode, ChatGPT is transformed into a kind of virtual employee: The AI researches, clicks through websites, edits files, fills out forms and makes decisions independently to achieve the goal set by the user. To do this, the agent uses a range of tools that includes browser access, document editing, calendar integration, and even API or email access.

The decisive factor: Unlike previous AI chatbots, which had to be guided step by step, the agent can also “think through” and execute multi-stage, company-relevant workflows end-to-end. A live view shows how the cursor moves through the tasks almost like a human being.

Vacation planning example: This is how a ChatGPT agent works

Let's imagine a simple scenario: A company wants an agent to automatically process an employee's vacation request.

Companies report significant time savings, especially for tasks that are clearly defined and not regulated too restrictively. This includes:

Routine work, from data aggregation to log creation, can be completely outsourced. This gives the team time for strategic and creative tasks.

Efficiency and cost gains

By automating complete workflows, processing time and error rates are measurably reduced. Companies save massive amounts of time, for example, when pre-qualifying support requests or analyzing offers.

AI agents can link data from a wide variety of sources, evaluate it in real time and make actionable insights available, for example when analyzing markets, monitoring competitors or optimizing sales processes.

Level of Maturity — Between Hype and Suitability for Everyday Use

The possibilities are currently impressive, but: The technology has not yet reached its destination. OpenAI itself also expressly describes agent mode (as of summer 2025) as a beta product. Key restrictions include:

  • Access is limited to Pro, Plus and Team accounts (sometimes with a significant cost factor).
  • The range of functions is growing rapidly, but not every booking platform is recognized by the system without errors.
  • Bugs, misinterpretations and process interruptions still occur, which is why live monitoring and testing of the content is recommended. Explicit approval and control are essential, especially when the agent accesses corporate systems or sensitive data.
  • Data protection issues have remained unanswered: Anyone who connects the agent to CRM, email or financial software must properly regulate access rights and data flows with regard to possible risks of misuse or phishing.
  • Even OpenAI publicly warns against careless use (e.g. for account connections or automatic email delivery), as new attack scenarios are possible.

Recommendation for companies that want to use ChatGPT Agents

In order to gain initial experience with ChatGPT agents in the company, it is recommended to start a pilot project and select a small, clearly defined use case. It is particularly useful to involve employees from the respective specialist departments right from the start, as they know their own processes best and can contribute practical requirements.

At the same time, companies should pay particular attention to security. Because agents work with corporate data, it is essential to precisely define and control access rights to protect sensitive information. It is also important to plan for a certain learning curve. The technology is rapidly evolving, but it is precisely by trying it out in pilot projects that teams are collecting valuable insights and building up the necessary knowledge for future, larger projects.

Despite its limited maturity, Agent Mode is considered a milestone in AI development because it marks the transition from classic, reactive chatbots to autonomous, proactive digital assistants that can independently plan and execute complex, multi-level tasks.

ChatGPT agents are revolutionizing office automation, but they're not a Panacea right now. They offer exciting opportunities to make many repetitive processes more effective, but require a well-thought-out safety concept and careful implementation. Anyone who uses the technology intelligently, controllably and experimentally can already experience it as a real efficiency booster. Everyone else should continue to monitor developments for a while and gradually migrate processes.
